Document Checklist

Here's everything we need from you to start submitting grant applications on your behalf. Don't worry if you don't have everything right away — we can work through it together. Send what you have and we'll let you know what's missing.

Required — We Need These First
Organization's Legal Name
Exactly as registered with the province or CRA. This must match your incorporation or society registration documents.
CRA Business Number or Charity Number
Your 9-digit business number (BN) or 15-digit registered charity number. Required for most government grants.
Mission Statement
Your organization's official mission statement. Most applications require this verbatim — a paragraph or two is ideal.
Most Recent Financial Statements
Last fiscal year's financial statements (income statement + balance sheet). Required for nearly every government grant. Audited is ideal but reviewed or compiled works for most programs.
Proof of Incorporation or Registration
Certificate of incorporation, society registration, or equivalent. Shows you're a legally established organization.
Important — Needed for Most Applications
Board of Directors List
Names and roles of your current board members. Some applications also ask for brief bios.
Current Year Operating Budget
Your projected budget for the current fiscal year. Shows funders you have financial planning in place.
Description of Programs & Services
A summary of what your organization does — who you serve, what programs you run, and your impact. A few paragraphs is plenty.
Number of People Served Annually
How many clients, members, children, or community members your organization serves per year. An estimate is fine.
Helpful — Strengthens Your Applications
Letters of Support
Letters from community partners, municipal officials, or other organizations that support your work. Not always required but significantly strengthens applications.
Annual Report
Your most recent annual report if you produce one. Shows funders your track record and transparency.
Photos of Your Facility / Programs
A few photos of your space, programs in action, or community events. Some applications allow attachments and photos make a real difference.
Previous Grant Applications
If you've applied for grants before (even unsuccessful ones), sharing those saves us time and gives us a starting point.
Quotes or Estimates
If you need equipment, renovations, or construction — having quotes or estimates ready helps build the project budget for applications.
Don't have everything? That's completely normal. Send us what you have and we'll work through the rest together. Most of these items can be gathered during our process — we just need the basics to get your first application submitted.
